DaitaFix Privacy Policy

1. Scope of This Policy

This Privacy Policy applies to:

• Visitors to our website;
• Users who create a DaitaFix account;
• Data accessed through integrations you connect (including Shopify and Google API Services);
• Data generated when DaitaFix queries third-party AI platforms on your behalf as part of the visibility monitoring service.

This Policy should be read together with our Terms & Conditions, which govern your use of the Service.

2. Information We Collect

2.1 Information You Provide

We may collect information you provide directly, such as:

• Name, email address, and account credentials;
• Business information (store name, domain, region);
• Support communications or feedback.

2.2 Information from Integrations

When you connect third-party services, we collect data made available through those integrations, including:

• Shopify: store performance metrics, product catalogue data, collections, and other store information you authorise — used for brand context, visibility analysis, and (where enabled) AI-assisted content publishing.
• Google API Services: read-only analytics, performance, or reporting data, depending on the OAuth scopes you approve. See Section 3 for our Google-specific commitments.
• Social media channels: where you optionally connect social accounts, we access publicly available or permission-scoped brand content to enrich the context sent to AI platforms during visibility scanning.
• AI platform query responses: when DaitaFix queries AI platforms (ChatGPT, Claude, Gemini, Perplexity, Grok, DeepSeek) on your behalf, we log the queries sent and the responses received. See Section 5 for details.

We only request the minimum data necessary to provide DaitaFix services.

3. Google API Services & OAuth Compliance

DaitaFix's use and transfer of information received from Google APIs complies with the Google API Services User Data Policy, including the Limited Use requirements.

Google Data We Access

Depending on your permissions, this may include:

• Basic Google account information (such as email address);
• Read-only metrics and reporting data from Google services (e.g. analytics performance data).

You can review and manage requested scopes on the Google OAuth consent screen before granting access.

How We Use Google Data

Google user data is used solely to:

• Authenticate your Google account and connect relevant Google services;
• Ingest and normalise data to provide brand context for AI visibility scanning;
• Provide historical comparisons and performance reporting within your DaitaFix account.

We do not:

• Use Google data for advertising;
• Build unrelated user profiles;
• Sell, rent, or share Google user data for third-party marketing.

4. How We Use Your Data (All Integrations)

We use your data only to:

• Provide, operate, and maintain DaitaFix;
• Query third-party AI platforms on your behalf to monitor and report on your brand's visibility and ranking;
• Generate AI-assisted content recommendations and, where you have authorised it, publish content to your Shopify store;
• Track competitor brand visibility and produce comparative analyses;
• Improve platform performance and reliability;
• Provide customer support;
• Meet legal and regulatory obligations.

We do not use your data for our own advertising or marketing without your explicit consent.

5. AI Visibility Scanning & Automated Processing

DaitaFix's core function is AI visibility scanning — an automated process in which we send brand-related queries to third-party AI platforms on your behalf and analyse the responses to measure and track your brand's presence.

5.1 How Scanning Works

• DaitaFix constructs and sends queries to AI platforms (ChatGPT, Claude, Gemini, Perplexity, Grok, DeepSeek) designed to surface brand mentions and product recommendations in AI-generated responses.
• Queries contain your brand name, product category, and relevant context — they do not contain the personal data of your customers.
• Responses are logged, analysed, and scored to produce your visibility dashboard, rank positions, and trend data.
• Scanning runs on an automated schedule. All processing is automated by default.

5.2 Data Sent to AI Platforms

When DaitaFix queries a third-party AI platform on your behalf, the data transmitted may include:

• Your brand name, store name, and product or category descriptors;
• Publicly available brand information used to contextualise queries.

We do not transmit your customers' personal data, order details, or any sensitive business metrics to AI platforms. Each AI provider's own privacy policy governs how they process data received through their API.

5.3 Human Access to Raw Data

• Human access to raw data is strictly limited and only occurs when:
  • You request support;
  • Required for security, debugging, or legal compliance;
  • Necessary to protect the integrity of the Service.

6. Data Security

We implement industry-standard technical and organisational measures to protect your data, including:

• Encryption in transit (HTTPS/TLS);
• Encryption at rest;
• Logical data isolation between clients;
• Restricted access controls;
• Monitoring for unauthorised access or anomalies.

No system is 100% secure, but we continuously improve our safeguards to reduce risk.

7. Data Sharing & Subprocessors

7.1 No Sale of Data

We never sell or rent your personal data, business data, or Google user data.

7.2 Trusted Service Providers

We may share limited data with trusted third-party service providers (such as cloud hosting, analytics infrastructure, or email delivery services) strictly to operate DaitaFix.

All such providers:

• Are contractually bound to protect your data;
• May not use your data for their own purposes.

8. International Data Transfers

DaitaFix operates globally. Your data may be processed or stored in jurisdictions outside your country of residence.

Where required, we rely on:

• Appropriate safeguards under UK GDPR / EU GDPR;
• Contractual protections with service providers;
• Security and access controls consistent with this Policy.

9. Data Retention & Deletion

• We retain data only for as long as necessary to provide the Service and comply with legal obligations.
• If you disconnect an integration (e.g. Shopify, Google, or a social channel), we stop collecting new data from that source and queue removal of associated data.
• AI platform scan logs are retained to provide your historical visibility trend data. You may request deletion at any time.
• You may request deletion of your account and all associated data at any time.

How to Delete Your Data

To delete your data from DaitaFix:

• Log in to your DaitaFix account.
• Navigate to Settings.
• To remove a specific integration (e.g. Shopify, Google), go to Integrations and click Disconnect — this immediately revokes access and queues removal of all associated data for that source.
• To delete your entire account and all data, use the Delete Account option in Settings. All stored data is permanently deleted.

If you wish to delete your data without logging in, email us at callum@daitafix.com with the subject line "Data Deletion Request". We will process your request within 30 days.

Deletion requests are handled in accordance with applicable law and our internal retention policies.

10. Your Rights

Depending on your location, you may have the right to:

• Access your data;
• Correct inaccurate data;
• Request deletion;
• Restrict or object to processing;
• Withdraw consent where processing is based on consent.

You may revoke DaitaFix's access to Google data at any time via your Google Account settings.

11. Cookies & Tracking

We may use essential cookies and similar technologies to operate and improve the Service. Where required by law, we provide appropriate notice and choices.

12. Children's Privacy

DaitaFix is not intended for use by individuals under 18. We do not knowingly collect data from children.

13. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated via the Service or email. Continued use after updates constitutes acceptance.
